Role Summary
We are looking for a highly organised and professional Executive Assistant & HR Support to provide dedicated administrative support to our executive management team and finance function. This is a pivotal role within the business, ensuring our leadership team operates efficiently and that day-to-day administrative and financial processes run smoothly. The successful candidate will be a confident, discreet, and experienced administrator who is comfortable working closely with senior stakeholders in a fast-paced, growing renewable energy company.
Key Responsibilities
Executive & Management Support
Provide high-quality administrative support to the CEO, CFO, and wider executive management team, including correspondence and meeting coordination
Coordinate board meetings and senior leadership meetings, including agendas, minutes, and follow-up actions
Act as a professional and discreet point of contact on behalf of senior leadership, managing communications with internal and external stakeholders
Oversee office operations, facilities management, and supplier relationships to ensure a well-functioning working environment
Lead the planning and coordination of company events, leadership offsites, and external functions
HR Support
Manage the end-to-end administration of the employee lifecycle, including onboarding, contract management, and offboarding processes
Maintain and develop employee records on the HR system, ensuring accuracy and full GDPR compliance at all times
Lead recruitment administration, including drafting job advertisements, managing candidate pipelines, scheduling interviews, and liaising with agencies where required
Administer employee benefits programmes, oversee leave tracking, and manage absence reporting
Coordinate training and development activities, including scheduling, booking, and maintaining accurate completion records
Prepare HR reports, management information, and metrics to support leadership decision-making
Finance Administration
Provide administrative support to the finance team, including assistance with the preparation of reports, presentations, and board packs
Process supplier invoices, purchase orders, and employee expense claims, ensuring accuracy, correct coding, and timely completion
Maintain financial filing systems and ensure documentation is organised, audit-ready, and compliant with internal controls
Assist with month-end and year-end administration, coordinating internally to ensure deadlines are met
Support procurement administration, including maintaining supplier and contractor records and assisting with contract documentation
General & HR Support
Maintain and develop employee records on the HR system, ensuring accuracy and full GDPR compliance
Support recruitment administration, onboarding and offboarding processes, and coordination of training and development activities
Manage internal communications, shared drives, and document management systems
Serve as the first point of contact for incoming external phone enquiries
Prepare and proofread executive-level correspondence, reports, and presentations to a high standard
Essential Requirements
Experience in an executive assistant, office management, or senior administrative role supporting leadership or finance teams
Proven ability to manage competing priorities and sensitive information with professionalism and discretion
Experience providing finance administration support, including invoice processing, expense management, or document preparation
Excellent written and verbal communication skills, with confidence engaging at board and executive level
Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint
Strong attention to detail and a commitment to producing high-quality work
Sound judgement and the utmost discretion when managing confidential information
Highly organised, self-motivated, and able to anticipate the needs of senior stakeholders
Desirable Requirements
A qualification in HR, Business Administration, or a related discipline (CIPD or equivalent advantageous)
Knowledge of or genuine interest in the renewable energy or broader energy sector
Experience working within a scaling business or project-led organisation
Working knowledge of Irish employment law and GDPR obligations
